Administrative Assistant

The City of Lenexa Municipal Services Department is currently accepting applications for a full-time Administrative Assistant who is proficient with technology and has excellent verbal and written communication skills to join our team.

Position Summary
Performs a wide variety of responsible and complex administrative duties in support of operations staff. Develops and maintains a variety of computer and office files, records, and reports. Provides information and assistance to division managers, citizens, vendors, and the public; and performs related duties, as necessary.

Essential Functions, Duties, and Responsibilities

  • Provides administrative support for operations division personnel including technical support on basic computer and software operation.
  • Conducts new employee hiring and on-boarding activities for Municipal Services staff (e.g., manages applicant tracking system, phone screens applicants, schedules interviews).
  • Partners with the Human Resources Recruiter to initiate pre-employment screening.
  • Maintains on-going communication with applicant throughout the hiring process.
  • Responds to the public and city staff in a courteous manner; provides information and assistance to the public; enters and assigns service requests. Makes decisions on contracts and public inquiries.
  • Coordinates placement of equipment for auction, monitors and tracks progress, and communicates with bidders; performs final closeout on bid items.
  • Maintains database on fixed assets for vehicles and equipment; provides support information to Legal and Finance departments; develops and maintains complex spreadsheets and databases as needed.
  • Prepares purchase order requisitions; reviews invoices; assists with budget spreadsheets.

Additional Examples of Work Performed

  • Researches and compiles data for special projects; prepares routine reports.
  • Coordinates the creation and distribution of all bid documentation for vehicles and equipment; attends bid openings; oversees distribution of awarded contracts.
  • May receive, sort, and distribute mail.
  • Maintains calendars and schedules of activities, meetings, and various events; coordinates activities with other departments, public, and outside agencies; coordinates travel arrangements.
  • Processes personnel, payroll, and purchasing information; orders and maintains office supplies; and reconciles invoices.
  • Performs miscellaneous and general office duties as needed.
  • Compliance with all policies and standards.

Qualifications
Minimum: High school diploma or G.E.D. and two to four years of administrative experience; or Associate’s degree in office management or related area and two years of administrative experience; satisfactory credit history. Must complete required NIMS IS-100 and IS-700 training within three months of employment.

Desired: Four years of construction management, local government, or field operations experience.

Compensation and Benefits
Hiring range starts at $19.71 to $22.18 per hour dependent on qualifications and directly related experience. The City of Lenexa offers a comprehensive benefits package including:
